Booking & Registration Policy 

The AISPN Conference aims to bring together a balanced and inclusive mix of practitioners, service planners, academics, beneficiaries, and representatives from all relevant sectors. This policy outlines how registrations are managed to ensure fairness, transparency, and responsible handling of personal information.

1. Purpose of the Policy 

This Registration Policy sets out the terms that apply when individuals register to attend the AISPN Conference. Its purpose is to ensure a fair, equitable, and transparent process that supports wide sectoral representation and reflects the values of inclusion and collaboration.

2. Registration and Allocation of Places 

  • Registration does not guarantee a place at the conference. Places are limited, and demand may exceed capacity. 

  • AISPN reserves the right to review all registrations to ensure a balanced spread of participants across sectors and roles. This may include prioritising individuals or organisations to support fair and meaningful representation. 

  • Where registrations exceed available capacity, AISPN will make final decisions on attendance based on the need for diversity of perspectives across disciplines, sectors, and lived experience. 

  • Applicants will be notified in writing if they have been offered a place, placed on a waiting list, or not allocated a place. 

 

3. Acceptance of Terms 

By submitting a registration form, participants agree to the terms of this policy and confirm that the information provided is accurate.

4. Use and Sharing of Personal Information 

  • By registering, participants consent to AISPN sharing their registration details (name, organisation, role, and contact information) with event partners and sponsors for the purposes of event planning, administration, and post-event follow-up. 

  • AISPN will handle all personal data in line with relevant data protection legislation, ensuring that information is used responsibly and securely

5. Event Communication 

Registrants may receive communications relating to: 

  • confirmation or outcome of the registration review 

  • event updates, logistics, accessibility information, and programme details 

  • follow-up materials, evaluations, or resources from partners or sponsors 

 

Participants may opt out of non-essential communications at any time.

6. Cancellations and Transfers 

  • If an attendee is offered a place but can no longer participate, they are encouraged to notify AISPN as soon as possible so the place may be offered to another registrant. 

  • AISPN reserves the right to manage a waiting list and determine whether places can be transferred within an organisation, subject to sectoral balance considerations. 

 

7. Code of Conduct 

All attendees are expected to engage respectfully with other participants, speakers, and AISPN Conference Committee. Behaviour that undermines inclusion or safety may result in removal from the event and exclusion from future activities.

8. Amendments to the Policy 

AISPN may amend this policy when necessary to ensure fairness, compliance with regulations, or to improve the event experience. Any changes will be communicated through official channels.
